Two points:
1. Stefan's idea is tempting but I'm with the "non scriptum non est" crowd... if you don't write it down, it didn't happen. I'd rather nail down specific language at this point.
2. Sir Theron's point about sites is spot on. The only thing I'd add to it is that there is no such thing as a bad event site - there is only a site that is best suited to support a specific type of event.

In fact, from my experience in running various local SCA events, having the site already taken care of, makes it easier to plan an event.
