Since they submit some sort of paperwork to be in the crown tourney, couldn't there be an extra form that participants could fill out with the bare bones theme?  Like a sort of a fill in the blank?  If I win, I'd prefer these colors, this time period, that country, and specifics like -  a masque/viking raid/pirate ship?  

If like a wedding there is a standard for what a coronation should have (aka fighting, feast, A&S and a changing room for the coming/going royals) - and you can start adding the details and dressing from the fill in the blank they file when they sign up for crown tourney, then it should be somewhat less painful shouldn't it?

Is there also a central location if someone wants to volunteer independent of the local?  Like (FOR ILLUSTRATION PURPOSES ONLY _ NOT AN ACTUAL ACT OF VOLUNTEERING) if I wanted to volunteer as head troll for Fall coronation.  It's a kingdom event, so no conflicts.  Is there somewhere other than shouting into the abyss of the internet that I can put that info out there?  So those submitting bids can say, "well, I don't have to find a head troll - Lady exchequer of nowhere said she'd do that.  Let me contact her and confirm I can put her on our bid".  


To conclude, I'm new at this, and I'm not sure if all this hasn't been tried before.  If so, sorry; if not, hope it might help some.
