I will first off say that I have not read this thread the entire way
through, so forgive me if some of these ideas have already been conveyed.
There are a lot of ways that event fees can be reduced, as there are a lot
of hidden expenses involved with events. However the help has to come from
the populace and isn't just crafty budgeting on the part of the autocrat.
Donate!!!!
Donate cleaning supplies, toilet paper, bathroom basket goodies,
papertowels, etc. Most events are probably not going to use the entire
bottle of windex or pine cleaner, etc. but will probably have bought one.
Volunteer for site clean up (before or after the event) and come with your
extra cleaners, brooms, mops, and buckets to assist. (what a great way to
get rid of those bottles under the sink with only a inch of solution in the
bottom!)
Donate prizes for the event. Or if anything - donate your time and just get
reimbursement for the materials. Prizes do add up quickly!! And in my
experience, what our artisans can create is usually phenomenally better than
anything purchased.
Feast and Site tokens - if donated or foregone completely - money saved.
If you have the ability to print up schedules, event brochures, etc. for
your group's event - please donate the time, paper, etc.
Additionally - if groups keep good track of their supplies, often expenses
that get repeated year after year can at times be minimized in future
events. When you purchase something - try to get good quality - i.e. Sacred
Stone's event signs - the first War of the Wings purchased those for the
Barony - here we are going into War of the Wings V and those signs are still
in regular use in the Barony and get used for nearly every event within the
borders of Sacred Stone - whether Canton or Baronial - which meant that was
one less thing each of those events had to purchase. Keep track of the
banners, tablecloths, decorations used - they can be reused at future events
preventing mad sewing nights and more money spent.
Think about what you can do for your group - every penny an event saves is
less money that has to be charged to get into the event.
