in some cases there certainly have been folks that are well known to site
owners, like sir bryce and sapphire. but these situations arent the norm
and certainly are not required. ive probably been to 50 events at kings mt
for example (autocrat of two myself) and there have been dozens of different
autocrats there. so long as people acting as autocrats remain professional
(which hopefully they continue to be) and the site owner/steward/director is
used to dealing with varying groups renting their sites there really isnt a
need for any one person to be the go between. this is certainly the case
with bjp, kings mt, and other frequently rented sites. there seems to be
some concern that autocratting an event at a non-local site will present
some hurdles (all of which, i think, can be solved with an informative
website with all of the pertinent details of the site) but the fear that
someone who is not local will come in and ruin everything is outlandish at
best. bjp, for example, has been used four or five times by us now and each
one had a different autocrat. in talking with the director he has been very
pleased with the sca and commented on how little work his staff has had to
do when we leave. he commented that this isnt typical when they rent their
facilities out. we have a great track record and have for many years. no
reason to think that wont continue.

Some experience grist for the mill. Just my 2 Tugriks worth. I have found
that the representative of the site tends to seek out the person from the
group using the site that they have worked with most often. In most cases
they really don't care which one is in charge - they just know when they
talk to "george" the problem gets resolved. Having a local rep is not a
bad idea at all but it should be someone that the site reps are
comfortable with. It helps if the group using the site is aware of who
this person is as well, especially in the case of out of town groups using
a site. Possibly this individual should be called a Mediator or Site
Liasion rather than a local rep. The end result is a site staff that's
comfy with things, a group that is comfy with the planning and outcome
and the simple knowledge that if a problem arises we go get "George, the
Mediator".
This begs the question - how many folks are willing to be 'George, The
Mediator'?
Good planning will alleviate more issues than anything else. Good
communication is part of good planning.
