Re: Demo at the Carolina Club at UNC Chapel Hill on Sunday, 25 January
Website: http://sca.daysofyoreevents.com

Hello, everyone.

We have just over a week until showtime. We have and are getting a lot of media attention and can expect this to be a great event. We need for everyone to understand that this is not a standard SCA demo where people can just show up and participate. You need to be on the Volunteer Roster to come as an "SCA demo person".  We officially closed the roster on 20 December, but since some time was lost due to 12th Night and Holidays, we did extend allowances for specific circumstances.  If you signed up and only mentioned your own name to us, don't be surprised if we didn't know that this also included your spouse, kids, friends, etc., and the six other people that are working your booth.  We will do our best to get your folks in, but at this point, it may not be possible.

It is very important that you check the Volunteer Roster as soon as possible and make sure that you're on the list, and that your listing is correct: http://sca.daysofyoreevents.com/roster.htm

If your listing is in pink, that means that we have questions for you that we need to have answered. Livia has spent a lot of time sending email and leaving phone messages in this regard. Please respond.

This is an indoor demo. There is limited space. Wystan has worked very hard to produce a floor plan that allows for just over 100 SCAdians, tables, chairs, game booths, merchants, a tourney field, AND a performance stage, not to mention the guests! We are very sorry, but we simply do not have room for "spontaneous" booths or displays.

Furthermore, everyone who is signed up, needs to have something assigned as a "task" all day. If you're only signed up for set-up and decorating, that means that you have nothing to do while the demo is open to the public. I need for you to contact me and let me know that you are only assigned for set-up and decorating, and Britni and I can find places that need help during the event. We can not stress enough that everyone must have something to do. We unfortunately will not have enough time to make last-minute assignments while we're supposed to be dealing with the public and running the demo. Please contact us before the demo, and preferably not the night before. Tonight would be great. Yesterday would have been fabulous. :)

Some folks are planning on just coming as tourists, paying the (cheap) admission and enjoying the show. That is cool. We do, however, ask that you don't come in garb. All patrons will assume that those in garb are "workers", and we don't want anyone to feel like "the event staff was ignoring me", because the SCA guest was in garb. In short, if you're not on the Volunteer Roster, please don't come in garb. We want to present as "professional". Especially since there may be newspaper coverage.

We also need for you to check the Buffet Register and see that your listing is correct:
http://sca.daysofyoreevents.com/buffet.htm

The buffet chef has indicated to Livia that he MUST have a final count, and Livia will be giving him the final sheet Monday. If you are not on the buffet, this is ABSOLUTELY, POSITIVELY, NO QUESTIONS ASKED, the last chance to get on the buffet for $5. Mistakes NEED to be corrected THIS WEEKEND.  If you're not on the list by Monday morning, you can still have the buffet, but the price will be $10. We are very sorry, but that was the deal we made with the Carolina Club. If there is any confusion, please call Livia at (919) 280-2909, or email her at b.newton at earthlink.net, or talk to her at the Baronial meeting, THIS SATURDAY AND SUNDAY.

All information and questions can go to me, and I will forward anything that pertains to the other coordinators if needed:
Ursula von Bremen (Jerome Quillen)
W 919-313-7712 (direct line)
H 919-361-2375

Over this weekend we'll be test-driving the directions to the site, and nailing down the schedule, so expect to see information about these things hit the email lists on Monday, (19 January).

With thanks for your understanding and cooperation,
Ursula von Bremen
